KEEPSAKES TERMS & CONDITIONS
Any reference made to ‘you’, ‘your’ or ‘the customer’ refers to the customer placing the order.
1. Placing an Order
To place an order with Stitched Memories by Kasia, please complete the Keepsake Order Form and send it, signed and dated, together with the clothing or fabric you would like used, to the address provided to you. Please fill in the Order Form as completely and accurately as possible — an incomplete or unclear form may delay the start or completion of your keepsake.
If you have particular preferences for how your clothing or fabric should be used, or any special features you would like included (or specifically avoided — for example a certain pattern, motif, or panel of fabric), please note this clearly on the Order Form. Where no preference is given, I will use my own judgement and experience to make the best use of the items you have sent.
2. Payment
Full payment is required by bank transfer at the time of ordering, before any work begins on your keepsake. Please only use the bank details provided to you directly by Stitched Memories by Kasia; I am not responsible for payments sent to any other account.
3. Your Clothing / Fabric
It is your responsibility to make sure the correct number of items is sent and that they are in a usable, freshly laundered condition. If you are unsure whether an item is suitable, please check with me before sending it.
Please note that I am not able to accept leather, wool coats, real fur, hand-knitted items,
undergarments, swimwear, handkerchiefs, or similar items.
I reserve the right to decline an order if the clothing or fabric supplied is unclean, heavily creased, damaged, or otherwise unsuitable, including for hygiene reasons. If this happens, I will let you know using our previous method of contact, and the items will be returned to you by Royal Mail (or another suitable carrier) using a tracked, signed-for service where possible. Any payment made will be refunded, less the cost of return postage.
Please package any clothing or fabric sent to me securely, to protect it in transit — postage costs for sending items to me are not included in the keepsake price. I will confirm safe receipt of your items once they arrive.
Please let me know on your Order Form whether you would like any unused fabric or offcuts returned with your finished keepsake. If you don’t wish for these to be returned, they will be disposed of, donated, or recycled responsibly. If a large amount of fabric is being returned, an additional postage charge may apply — I will contact you first if this is the case.
4. Extras
Embroidery
If you would like text embroidered onto your keepsake (such as a name or date), it is your responsibility to make sure the wording and spelling/capitalisation you provide is correct. Before embroidering, I will send you an image of the text for your approval. Any corrections needed due to an error in the details you supplied will be charged.
Additional Extras
Any other extras you would like added to your keepsake can be discussed with me directly and, if agreed, will be charged accordingly.
5. Turnaround Time & Shipping
Once I’ve received your clothing or fabric, I will let you know the estimated turnaround time for your keepsake. Please note that once work has started on your order, changes may no longer be possible.
When your keepsake is finished, I will send you photos for your approval. Any changes requested at this stage may incur an additional charge and could delay shipping. Once you’ve approved the finished keepsake in writing, it will be shipped within 3 working days.
Orders are shipped via Royal Mail or another suitable courier, using a tracked, signed-for service where possible, to the address given on your Order Form. I will send you a tracking number once your order has shipped. While I take great care in packaging, I cannot be held responsible for loss or damage once a parcel is with the delivery company — but I will always do what I can to help resolve any issues that arise.
6. International Shipping
If you are ordering from outside the UK, you are responsible for any customs duty, VAT, tariffs, handling fees, or other charges required to import your keepsake into your country. These are not collected by me in advance, and I’m unable to estimate what they might be, as this varies widely by country.
Please check with your local customs office in advance so there are no surprises when your parcel arrives. If customs charges are refused and your order is returned to me as a result, I am unable to offer a refund.
7. Cancellations & Refunds
As every keepsake is made especially for you from your own clothing or fabric, once your items have been received and work has begun, your order cannot be cancelled or refunded. Because finished keepsakes are entirely personalised, they cannot be returned or exchanged.
If there is a problem with your order, or you believe there is a fault, please get in touch at Stitched.Memories.byKasia@outlook.com within 14 days of receiving your keepsake so we can find a resolution together
8. Copyright & Marketing
Stitched Memories by Kasia may share photos of keepsakes I create, and of the clothing or fabric sent to me, on my website and social media (including Stitched Memories by Kasia on Facebook and @Stitched.Memories.byKasia.bear on Instagram) for marketing purposes.
If you would prefer your keepsake or the items sent for it not to be used for marketing, please let me know in writing at Stitched.Memories.byKasia@outlook.com at the time of paying for your order.
If you share photos of your own keepsake online or elsewhere, I’d really appreciate it if you could credit Stitched Memories by Kasia.
By placing an order, you agree not to share photographs of your keepsake with children under 14, as it may give the impression it is a toy, which it is not.
9. Safety & Disclaimer
Keepsakes made by Stitched Memories by Kasia are decorative, sentimental items — they are not toys and are not intended to be played with. They are not suitable for, and should not, under any circumstances, be given to persons under 14 years of age.
Where possible, keepsakes are made using toy-safety eyes and polyester hollow-fibre filling that conforms to the Fire and Furnishings Regulations. Because of the personalised nature of these items, they cannot undergo CE/UKCA testing, and are therefore decorative collectibles only. I accept no responsibility for keepsakes given to persons under 14 years of age.
As every keepsake is made from clothing or fabric supplied by the customer, each piece is unique and may vary slightly in appearance, size, or finish from any photos or examples shown.
10. Privacy
Any personal details you share with me (such as your name, address, and contact details) are used only to process and deliver your order, and are not shared with third parties beyond what’s needed for shipping.
